We are looking for 10 x Admissions Officers to join UCL on a 5 month contract. This will be working onsite at Bidborough House. The rate of pay is £18.18 per hour.

Job role

The Admissions Office is responsible for all admissions to UCL's undergraduate and graduate degrees, affiliate and Teacher Training programmes. It handles approximately 160,000 applications per cycle and is responsible for admitting approximately 20,000 students in each academic year. The Admissions function is critical in ensuring that UCL secures the desired number of students to meet UCL's aspirations in terms of securing and maintaining a well-qualified, balanced student body and associated tuition fee income, currently in excess of £300 million per annum.

Main purpose of the job

  • Responsible for: the administration of all aspects of the processing of applications across the area of undergraduate, Initial Teacher Education, affiliate and graduate admissions; handling enquiries received from applicants, parents and schools/colleges; supporting the UKVI points based immigration process as it applies to undergraduate admissions.

The postholder works using their own initiative in a self-directed manner, referring complex problems or issues requiring policy decisions to the appropriate Senior Admissions Officer.

  • In undertaking these responsibilities, the postholder will liaise with prospective students and their representatives, members of staff in UCL academic units and Professional Services divisions and external agencies, such as UCAS.

Duties and responsibilities

  • Handling enquiries regarding applications for study from applicants, parents and schools/colleges (in person, by telephone, email and letter) for programmes within the remit of the central Admissions Office.
  • Processing applications across the areas of Undergraduate, Initial Teacher Education, Affiliate and Graduate admissions, including: creating database applicant records; managing on-line applications using the SITS student database, the electronic workflow and the applicant portal; qualifications checking and assessment, including the application of contextual data; processing aptitude test results (as appropriate); arranging interviews; decision processing including offer letter production; fee status determination; updating database records for transmission to UCAS, including confirmation decisions; and, verification of qualifications.
  • Where centralised decision making takes place - against agreed criteria, assessing the suitability of applicants for a programme of study to determine their potential to succeed and making the selection decision on whether to admit the applicant. Liaising with relevant Admissions Tutor in cases where a decision is unclear.
  • Liaising with Senior Admissions Officer and Admission Tutors regarding offer production and conversion rates to ensure offer quotas and intake targets are being met.
  • Liaising with UCAS regarding specific applicant records as and when required.
  • Liaising with schools and school partners as and when required.
  • Supporting the Occupational Health clearance process for all relevant applicants, providing clear and accurate information to applicants, monitoring payments, and recording the results in a timely and accurate manner.
