Overview of Main Responsibilities:

  • Provide PA support to the MD & wider team.
  • Organise and maintain files, records, and confidential information, ensuring easy access and retrieval when needed.
  • Act as the primary point of contact between the executive and internal/external stakeholders, managing emails, calls, and correspondence effectively and professionally.
  • Plan & execute communications and updates as agreed with the team.
  • Assist with researching, and editing of supporting materials, presentations, websites, digital documents and spreadsheets.
  • Assist in prioritising tasks and deadlines, identifying potential conflicts and proposing solutions to ensure optimal time management.
  • Multiple diary management and scheduling.
  • Meeting Support: Prepare agendas, take minutes, and assist in the preparation of materials for meetings, ensuring smooth proceedings and follow-up actions.
  • Arrange travel itineraries, accommodation, and transportation for the MD & wider team, considering locations/preferences, schedules, and budget constraints.
  • Expenses & expenses reconciliation.
  • Build and maintain a strong positive rapport with key contacts across the company.
  • Provide additional support and assistance to the MD & wider team as needed, adapting to changing priorities and requirements.

Essential skills and experience

  • Similar experience within a PA/EA role supporting at director level.
  • Strong organisational skills, being able to manage multiple diaries and responsibilities.
  • Interpersonal and communication skills.
  • Manage and prioritise workloads to meet deadlines.
  • You will have fantastic accuracy skills and attention to detail.
  • Project management, ability to multitask and work efficiently.
  • Discretion and confidentiality in handling sensitive information and situations.
  • Enthusiasm, self-motivated and determined.
  • Strong IT Skills including MS office, Excel and PowerPoint.
